2024 Annual Meeting

About the Annual Meeting

The annual Association Meeting for Verona Wildcats Youth Hockey Association will be held Thursday, April 18th at the Verona Ice Arena in the mezzanine at 7:00 p.m.  See the below for the agenda and last year's annual meeting minutes.  All association families are invited to attend. 

There are several important Board positions slated to be filled at this meeting, including President, Registrar, and all Age Level Director positions.  Descriptions of these open positions are outlined below.

Voting Process:  there is no official nominating process for these positions.  It is a simple process of informing the Association secretary of your interest to run for a position either prior to the meeting via email, or at the meeting.  Voting members in attendance can nominate someone else for a position, or may also self-nominate. Nominations are taken and then a vote is called once all nominations are voiced. In the event of multiple nominations, paper ballots are handed out; votes are cast, and then collected by the Association secretary. Votes are counted and the winner is announced.

President (2-year term) – The President shall preside at all meetings and have general supervision of all affairs of the Association. The President shall act as Agent of the Association and as such, shall have authority to sign all deeds, leases, conveyances, and other legal and official documents.

Registrar (2-year term) – The Registrar shall account for all skater registrations, including USA Hockey registrations for both skaters and coaches. Any payments accompanying registrations shall be accounted for and passed along to the Association Treasurer. Any ice credits that come into his or her hands from the Treasurer’s records shall be accurately accounted for. In addition, the Registrar shall process paperwork for transferring skaters, and Association skaters born outside of the US, for submission to WAHA, and/or USA Hockey. The Registrar shall prepare official team rosters and submit them to WAHA prior to the deadline of December 31, and distribute patches earned by players at the end of the season. All moneys received, statements, and inventories of moneys received, and generally all matters pertaining to his or her office shall be reported to the Board of Directors.

The Age Level Directors (ALDs) (1-year terms) The Age Level Directors consist of 8 elected officials that serve one year terms. Age Level Directors are responsible for addressing any issues that arise with players, coaches, parents or teams during the year at their level. Age Level Directors shall assist with the registration and needs of all skaters at their level. The positions include: 

U18 High School - Midget
U14 - Bantam
U14 Girls - Mavericks
U12 - Pee Wee 
U10 - Squirt 
U8 - Red, White, and Blue (RWB)
U6 - Cross-Ice

Proxy Voting

We encourage all association members to attend the Annual Meeting. However, we understand that given work schedules, spring sports, and other conflicts it may not be feasible for you to attend. Our association does not have absentee voting, but we do allow for proxy voting in the event you cannot attend but would like your vote to be counted. Here is information on proxy voting as stated in our association bylaws:

4.08 Proxies: At all meetings of the Association, a member entitled to vote may vote in person or by proxy; appointed in writing by the member or by his duly authorized attorney in fact. Such proxy rights shall be filed with the Secretary of the Association before or at the time of the meeting. Unless otherwise provided in the proxy, a proxy may be revoked at any time before it is voted, either by written notice filed with the Secretary or the acting Secretary of the meeting or by oral notice given by the member who has filed his proxy. No proxy shall be valid after eleven months from the date of its execution, unless otherwise provided in the proxy. The Board of Directors shall have the power and authority to make rules establishing presumptions as to the validity and sufficiency of proxies. A family membership represents one (1) vote in the Association and may be cast by a single representative, and each family membership shall be limited to represent one (1) proxy vote in addition to their own vote.

Proxy Forms must be presented to the Association Secretary either in advance via email or at the meeting. Again, to clarify, each family (regardless if you have one or five skaters with the association) has one vote. Each family is limited to a maximum of two (2) total votes - theirs and one proxy.

Please note: signing over your proxy vote entitles that person your voting rights for any and all positions open on the Board, and any other matters that are acted upon by the entire membership - at the Annual Meeting and any other full association meeting.  Unless otherwise stated, that proxy right is good for 11 months.  Proxy voting should not be taken lightly.
